Privacy

We keep as little as the work requires. Field notes do not carry visitors’ names.

What we collect

From people who write to us: name, email, telephone if you give it, suburb or site of the desk, the observation you have in mind, and the contents of your letter. From commissioning organisations: staff contact names, floor plans, opening hours, and whatever you send so we can sit in the right chair. We do not collect health records, identity documents, or payment-card numbers through this website.

During field days we record patterns of use, not identities. If a name is spoken at a counter, it does not go in the book.

Why we hold it

To answer letters, to quote, to attend a site, to write service usage insights, to invoice, and to meet record-keeping duties in Australia. Application analytics as we practise it does not require a marketing list. We do not sell contact details.

Retention

Enquiry letters that do not become work are kept for two years. Engagement files, including reports and invoices, are kept for seven years. Notebooks that have been typed are destroyed after the report is accepted, unless a quote says we must hold them longer for a dispute.

Access, correction, and complaint

You may ask what we hold about you, ask for a correction, or ask us to limit use where the law allows. You may complain to us first. You may also contact the Office of the Australian Information Commissioner. We answer privacy requests within a reasonable time, usually within thirty days.

International transfers

Our practice is in Sydney. Email and the computers we use to type reports may store copies on servers outside Australia (including common mail hosts). Where that happens, we take steps that are reasonable in the circumstances. We do not send field notebooks overseas as a matter of course.

Children

We do not seek information from children. Waiting rooms may contain children; we still do not record their names or faces.
